QuickBooks year-end cleanup guide

QuickBooks Year-End Cleanup: A Simple Checklist Before Your Accountant Sees Your Books

Duplicate transactions, unreconciled accounts, stale uncleared items, and missing receipts can turn year-end into a scramble. Use this checklist to get organized, then use your free Bookkeeping Disaster Score to see what may need attention in your own file.

The checklist

Seven practical steps to cleaner books.

Work in this order when possible. It reduces rework and gives you a clearer record of the questions that need an accountant’s input.

01

Find and remove duplicate transactions

Duplicates often appear when bank feeds, manual entries, receipt apps, or imported files overlap. Compare transactions by date, amount, payee, and account before deleting anything. If you are unsure which entry is valid, flag it for review instead of guessing.

02

Reconcile every bank and credit card account

Match QuickBooks activity to each statement through the end of the period. A bank balance that looks close is not enough: reconciliation confirms that the cleared transactions and ending balance agree with the statement.

03

Review old uncleared items

Look for payments, deposits, cheques, and transfers that have been sitting uncleared for months. They can be timing differences, duplicates, entries posted to the wrong account, or items that were never actually paid. Investigate the source before clearing or deleting them.

04

Clean up transaction categories

Scan your profit and loss for expenses parked in Uncategorized Expense, Ask My Accountant, owner draws, or broad catch-all accounts. Make sure recurring purchases are consistently categorized and that personal spending is separated from business activity.

05

Collect receipts and supporting documentation

For material purchases, subcontractors, vehicle costs, travel, meals, and unusual transactions, attach or organize the receipt, invoice, or contract that explains the entry. Clear documentation makes it faster to answer your accountant’s questions and support the expense if it is reviewed later.

06

Flag GST and tax items for review

Check that taxable sales, zero-rated or exempt sales, and input tax credits are not mixed together by accident. Also flag owner payments, payroll-related entries, sales tax payments, and large adjustments for your accountant or tax adviser. Cleanup is not a substitute for tax advice or filing review.

07

Compile an accountant-ready year-end package

Prepare reconciled bank and credit card statements, a profit and loss, balance sheet, accounts receivable and payable aging, loan statements, payroll records, sales tax filings, and notes for anything unusual. Your accountant can then start with organized evidence instead of a scavenger hunt.

Avoidable year-end friction

3 things your accountant hates finding at year-end.

These are common, fixable issues. Addressing them early saves back-and-forth, makes your reports more reliable, and keeps the conversation focused on decisions instead of detective work.

01

Duplicate expenses

The same supplier bill or card purchase appears twice, overstating expenses and forcing someone to trace which entry is real.

02

Stale uncleared items

Old cheques, deposits, and transfers remain on the books without an explanation, leaving account balances hard to trust.

03

Missing receipts

Large or unusual expenses have no invoice, receipt, or note attached, so the purpose and tax treatment cannot be confirmed quickly.
